This guide covers setup and some common questions for using Encyro to securely send and receive files and messages with your clients and contacts.
What is the minimum amount of setup needed to start communicating securely with a client? How do I make sure my message is secure?
If you already have a username and password you are most of the way there. Simply navigate to encyro.com and click the login button in the top right corner.
1. Once you are logged in, click the Compose button near the top left
2. Type the email address of the person you wish to send to (separate multiple email addresses using a comma)
3. Upload files (click the browse button or drag and drop files)
4. Type a message
5. Optionally, type email text (this is not encrypted and is visible to your recipient before opening your secure message)
6. Attach any files from your Encyro account that you may have previously sent or received
7. Click the Send button
*All files you attach and the message you type will be encrypted.*
The recipient will get an email with a link to access their secure message.
If I send documents to my client, will they be required to sign up for an Encyro account?
No. Your client will simply click a link in their email to access it. They will have the option to create a password if they want long-lived access to their received message. If they do create a password, a free Encyro account is automatically created for them.
How do I add an email introduction?
You may optionally add an email subject or email message that is included in the notification email to tell your recipient what the secure message is about (without mentioning sensitive information).
When composing a new secure message, click the Add Email Intro button near the bottom left. You will see two fields: one for an email subject and one for the email text.
Note: This text is included in the email itself and is not encrypted. Do not include any sensitive information here.
How do I securely receive documents from someone without an Encyro account?
With Encyro, you can receive files or messages from clients without asking them to sign up for an Encyro account. To receive securely from senders who do not have an Encyro account, you use your Encyro upload page.
Setting up your upload page:
1. Click Settings near the top right
2. Click on Brand, Upload Page in the left pane
3. Find the text Upload URL. In the input box, type in a friendly name (you cannot use spaces or dots). For example, if your business is called XYZ Services LLC, you could choose xyzservices
4. Click Check and Create to set this web address. Your upload page address becomes: https://www.encyro.com/xyzservices
5. Optional, but highly recommended: Add your business name, address, business logo, your photo, and additional data to show on the upload page
Sharing your upload page:
Send your upload web page address to contacts from whom you wish to receive secure documents:
- Include it in emails: "Since email is not secure for confidential documents, please use my secure upload page at www.encyro.com/xyzservices"
- Add it to your email signature
- Add your upload page link to your website as "Secure File Share" or "Submit Documents"
- Print it on client forms or business cards
When someone visits your upload page, they can upload files, type a message, and send it to you securely. You will receive a notification email when someone uploads files.
How do I forward received or previously sent files?
You can forward files from your previous secure messages. Unlike email, where you can only forward one email at a time, Encyro lets you forward multiple files from multiple secure messages at once.
To forward a single message with its files:
1. Click the Forward button on the message, near the Reply button
2. Edit the message if needed and remove files you don't want to include
3. Send the message
To forward multiple files from multiple messages:
1. Start composing a message
2. Click on Attach from Encyro
3. Click any folder and select files by clicking the square icon next to them
4. After selecting files from multiple folders, click Attach Selected
5. Send the message to one or more recipients
How to download files received?
To download one file: Left click a file to download it. The browser will download it and show it, typically towards the bottom of the browser window.
Download all files in a single message: Click the Download All button within the message (only shown if the message has multiple files). The files will be downloaded as a zipped archive.
Download multiple files at once: Click the square box next to each file you wish to download, then click the Download Selected button near the top.
How do I re-send a message that expired for the recipient?
To resend a previously sent secure message:
1. Access the sent message in your Encyro account
2. Click the Forward button toward the top-right
3. In the To-line, start typing the email address of the intended recipient (previously used addresses will be suggested)
4. Click Send
How can I change the expiry duration for message access links?
Messages sent to recipients who do not have an Encyro account (those who access the message from their email link without a password) are set to expire in a few days. Encyro Pro members can change this duration:
1. Go to **Settings** and click on **Compliance**
2. Make sure the toggle switch next to "Allow others to receive messages from me or my organization without a password" is ON
3. Set the desired number of days for which the message access link will remain valid
**Note:** Expiration cannot be disabled. If a recipient wants to maintain access beyond the expiry time, they should create an Encyro password (free).
Can I set up individual accounts so that customers can only view their documents?
Yes, each client will only see their own documents. Your upload page is only used to send documents to you and does not let clients see any previously sent documents.
For clients to see previously sent or received documents, they must create an Encyro password. You can always access all documents and messages sent or received from each client in your own Encyro account, with each client's messages placed in a separate folder.
How do I add a contact/client?
You may add a contact without sending a message:
1. Login to your Encyro account and click on **Contacts**
2. Click **Add Contact**
3. Add the email address and a nickname for the contact
4. Click **Add Contact**
The contact will show up in search results when you compose a new message.
How do I delete a contact?
To delete a contact with whom you have not communicated using Encyro:
1. Browse to the folder shown for that contact
2. Right click (Ctrl-click on a Mac, or long tap on a touch screen) the contact folder
3. Select Delete Contact
How will my contacts receive my secure message?
When you send a secure message to a contact or client, they will get an email with a link that takes them to your secure message. The email content depends on whether the recipient has an Encyro account or not.
If the recipient does not have an Encyro Account:
The email shows two options:
1. Access and Let Expire
The recipient may click this button to quickly access your message without creating any accounts. The message will expire in a few days.
2. Set Password and Access
If the recipient wants to maintain continued access to the message, they can click this button and will be asked to enter a new password (and automatically get a free Encyro account).
If the recipient already has an Encyro Account:
They will receive an email with just one option, **Access Now**, which takes them directly to their Encyro account with the secure message displayed.
Can Encyro access my messages and files?
Technically, yes. Encyro can access your data since Encyro manages your encryption keys for you. However, we take the privacy of your data seriously and unless there is a specific need (such as concerns regarding abusive usage/profanity) we do not access your messages or files. Access is restricted to a very small number of personnel with high security clearance.
Additionally, with Encyro, you can reset your password if you forget it and will not lose access to your past data.
Encyro is designed to keep your business secure and comply with the law. Where needed, such as for the GDPR, we can sign a data processing agreement (DPA).
What to do if my folders or messages seem to have disappeared?
It is likely that you are logged in with a different account. Check which account you are logged in with by looking at the email address displayed near the top right. You can click on that address to change the account you are logged in with.
