Do I need to create a new email address for Encyro? Will my existing email address work?

Your existing email address will suffice, no need to create a new one. Your email address will act both as your username to login to Encyro and will be shown as your sender address on secure messages that you send to others.

You can use an outside email account (e.g. Gmail/Yahoo/Outlook.com), your work email on a custom domain (e.g., you@yourdomain.com), or an email address provided to you by your Internet Service Provider. Any working email address will do.

We recommend using the same email address that your existing clients are already familiar with.

Can I send and receive using Encyro from any of my devices?

Yes, the Encyro website works from any device with a modern web browser, including Windows PCs, Macs, Android devices (smartphones, tablets), and iOS devices (iPhones, iPads).

There is no limit to the number of devices you use to login to your Encyro account. All account settings are available from a mobile device as well.

Do I need a Pro account for each employee?

You only need Encyro Pro accounts for employees who need to use Encyro to communicate securely. However, using an Encyro Pro account for each employee provides several advantages:

1. Data retention: If an employee leaves, you can still retain their Encyro messages and files

2. Access control: You may access an employee's data whenever needed (vacation, quality reviews)

3. Consistent branding: Apply uniform branding across all accounts

4. Compliance enforcement: Enforce uniform compliance settings and access audit logs

5. Permission management: Control permissions for your employees

6. Organizational upload pages: Get both organization-level and individual employee upload pages

7. Cost savings: You get a discount on each added account

I only need to send (not receive) secure messages, do I need Pro?

If you do not need Encyro Pro to create your upload page, you could use the Encyro Essentials version. However, you should consider your compliance, branding, and organizational needs:

Compliance:

  • Most compliance standards (HIPAA, FINRA, NIST, GDPR) require enforcing data security safeguards such as strong passwords and automatic logouts (available with Pro)

  • Most compliance standards require audit controls to review account activity (available with Pro)

  • HIPAA and GDPR require written agreements (BAA and DPA) with third parties that store data (offered with Pro)

Additional Pro Features:

  • Track message and file delivery with status updates

  • Change the message expiry duration

  • Organizational accounts for multiple staff members with centralized compliance, branding, and billing

  • Additional branding options (business logo and photo)

Can I get phone support?

Yes. Contact us at support@practicepanda.com and let us know your available times. We can call you or set up a convenient time for a phone call or conference call with screen sharing.

How much storage space do I get?

Encyro's philosophy is to make it easy for you to use secure communications without tracking storage space limits. The space allocated is 5 GB for your encrypted data (total 30 GB with backups across multiple data centers).

We maintain 3 copies of your encrypted data within each data center, and your data is stored on at least two data centers hundreds of miles apart.

How do I add additional users?

A Pro member can add additional users (employees, team-mates, practice partners, staff) after purchasing their own membership. Contact support@practicepanda.com to add users.

Note: Clients or contacts do not count as additional users - you can have an unlimited number of clients.

What custom branding can I add?

Your branding shows up on multiple touch points:

1. Upload Page: Shows your business logo, business name, contact information, photo, and colors matched to your logo

2. Secure Messages: Displays your business logo, photo, name, and business name with colors matched to your logo

3. Your Folder: Shows your photo, name, and business name to clients logged into their Encyro account

4. Email Notifications: Shows your business logo, name, and business name with button colors matched to your logo

Brand Elements to Add:

  • Name

  • Business Name

  • Business Logo (also matches upload page colors to your logo)

  • Photo

  • Address

  • Phone number

  • Fax

  • Upload page design theme

All these elements can be added on your "upload page settings" in the Settings menu.

Will emails to my contacts show my name or Encyro?

Email notifications sent to your clients will show your name (and business name) in the From field. The "From" email address will be Encyro's (because the email is sent by Encyro) but most email clients show the name prominently, not the email address.

The "Reply-to" field is set to your name and email address, so any replies are directed to you.

Some folders show a photo: how can I show mine?

If you are using the Encyro Pro membership, you may upload your photo in Settings > Brand, Upload Page > Photo.

The photo will show up on:

  • Your folder to all your contacts in their Encyro account

  • Your secure messages displayed to recipients who do not have an Encyro account

  • Your upload page

Photo recommendations: Choose a professional photo in portrait orientation, typically a headshot.

How many contacts or customers can I have in my account to whom I send documents?

There is no limit to the number of customers/clients you can have. There is no additional fee for each client account. Each client receives a free Encyro Essentials membership if they opt to sign up, or they may receive your messages without signing up for an Encyro account.

How to cancel paid membership

You may cancel your membership at any time. Contact us at support@practicepanda.com.

How can I print my receipt or invoice?

To print your receipts for past payments:

1. Login to your Encyro account and click Settings

2. Scroll down to Membership and click on Payment History

3. Click View next to a payment

4. Click the Print button below the receipt

If you need to print an upcoming invoice, contact us and we can email it to you.
