Connect Workspace Email to 3rd-Party email application

Before you backup your email data, you'll need to ensure you have your Workspace email account connected to your 3rd-party email program.

Practice Panda does not provide support for 3rd-party applications or services, these instructions are provided as-is.

Thunderbird (free app)

1. Go to https://www.thunderbird.net/en-US/ and download the free mail client.

Thunderbird is a Mozilla email client, so you can be assured that you're downloading a program by a world-known and trusted brand.

2. Now, double-click (or right click on the file and select "Run as administrator") the downloaded file in your downloads folder to start the setup process.

3. On the first Welcome to the Mozilla Thunderbird Setup Wizard screen, click "Next"

4. Click "Standard", then click "Next"

5. Uncheck "Use Thunderbird as my default mail application" if you don't want your computer to default to this application for all mail related items, then click "Install"

MORE INFO:

We suggest leaving the "Use Thunderbird as my default mail application" option unchecked, unless you want this desktop application to be your computer's default mail client.

6. Make sure the "Launch Mozilla Thunderbird now" checkbox is selected, then click "Finish"

7. Finally, if you've completed the setup Steps 1-6 successfully, the Mozilla Thunderbird email desktop application will open automatically.

NOTE:

Sometimes, the window may be hidden behind other active windows on your computer desktop. If this is the case (you don't see the application window as the active foremost application window on your computer's display panel), take a look at your computer's taskbar and click the Thunderbird icon to bring the window to the front of your display.

Alternatively, if you didn't tick the "Launch Mozilla Thunderbird now" checkbox in step 6, you can simply click in your Windows search bar in the taskbar (if you're not seeing a search bar in your taskbar, it might be shown as the Cortana icon depending on your personalized configuration you set in Windows) and type in "Thunderbird", then click the Thunderbird app icon to launch the program.

If you configured your Windows operating system to not display a search bar in your taskbar, then you'll need to go to your Windows Start menu > Type in "Thunderbird" in the search bar, and click the application icon in the search results to open.

8. Now, in the Mozilla Thunderbird application window, enter the following:

  • Your Full Name: Enter your name

  • Email Address: Enter your Practice Panda Workspace Webmail email address

  • Password: Enter your Practice Panda Workspace webmail password

Once you've entered your login information, click "Continue".

9. Thunderbird should automatically detect your Workspace webmail IMAP server settings. If the settings we're auto-detected, simply click "Done"

9.1 If Thunderbird doesn't automatically pickup your settings, you can enter the server information manually. Please copy the server information from the screenshot below:

Workspace Webmail Server and Port Settings:

  • Username: name@example.com (use your full email address)

  • Incoming (IMAP) Server: imap.secureserver.net

  • Incoming IMAP Port: 993

  • Outgoing (SMTP) Server: smtpout.secureserver.net

  • Outgoing SMTP Port: 465

NOTE:

If you need to enter the server data manually as shown in Step 9.1, make sure to replace our example email address and password with your own.

10. If you get an Add security Exception pop-up window after you have clicked "Done" in Step 9, make sure to click "Confirm Security Exception" to complete the setup.

11. Click "Skip Integration" if you don't want Thunderbird to be the default email client on your computer.

THAT'S IT! Your Workspace email is now connected to the Thunderbird application.

Now, proceed to Step 12 below.

!!! IMPORTANT !!! THIS IS A CRITICAL NOTICE!

After you connect your Workspace Webmail account to a 3rd-party email application, the email data that is located in the Workspace webmail servers will need time to fully download / sync all your data to your local 3rd party email client application.

IT IS IMPERATIVE THAT YOU WAIT FOR ALL YOUR EMAIL DATA TO FINISH SYNCING / FULLY DOWNLOAD TO THE 3RD-PARTY EMAIL CLIENT YOU CONNECTED YOUR WEBMAIL ACCOUNT TO BEFORE PROCEEDING WITH EXPORTING YOUR EMAIL DATA.

Practice Panda is unable to retrieve any lost email data if you don't export them all successfully.

12. Once you confirm you have all your emails synced to the Thunderbird application, you're ready to export your email data. Click to button below for instructions on how to export / backup your Workspace email data through the Thunderbird application.

Backup your webmail emails
